Most commercial AV installation problems are not caused by poor hardware. They usually begin much earlier, when a site survey is skipped, a wall is not assessed properly, cable routes are left until installation day or the finished system is never tested from end to end.
A display that cannot be serviced without removing part of a ceiling, a cable that fails over the required distance or a meeting room that stops working when someone joins a video call can all create expensive disruption after the engineers leave.
This practical ten-point checklist covers the planning, cabling, mounting, safety, testing, training and documentation needed to complete a professional commercial AV project properly the first time.

Before Installation Begins - A successful AV installation starts long before the equipment reaches site
Commercial AV systems often combine displays, mounts, cameras, microphones, speakers, touch controllers, media players, network connections and control equipment. Each individual product may be straightforward, but the complete system must work within the physical restrictions of the building.
The projects that run smoothly are normally the ones where room dimensions, wall construction, power, network access, cable distances, delivery routes and user requirements were confirmed before hardware was ordered.
The projects that create long snagging lists often skipped one of those early checks. By installation day, the bracket does not match the wall, the network point is on the wrong side of the room or the chosen cable cannot carry the required signal over the planned distance.

1) Site Survey - Survey the space before ordering any equipment
A commercial AV site survey records the physical conditions that affect the installation. This includes room dimensions, wall construction, ceiling height, access routes, proposed screen positions, existing power, network points and any restrictions on working hours.
The survey should confirm where people will sit, where content will be viewed from and whether doors, windows, radiators, lighting or furniture interfere with the proposed installation.
Delivery access also matters. A large-format display may fit perfectly on the wall but still be impossible to move through a narrow doorway, staircase or lift. Large screens and video-wall panels should therefore be checked against the complete route from delivery vehicle to installation position.
Ordering before a survey is one of the most common causes of commercial AV rework. The wrong bracket, inadequate power provision or an inaccessible installation point can turn a simple project into an expensive return visit.

Record wall dimensions, wall type, viewing position, power, network, access, delivery restrictions and the exact equipment location before the final hardware list is approved.

2) Structural Checks - Confirm the wall can safely support the display and bracket
A commercial display installation must account for the combined weight of the screen, bracket and any attached camera, soundbar or conferencing equipment.
Solid masonry, plasterboard partitions, timber studs, metal studs and specialist wall systems all require different fixing methods. A fixing that is suitable for a solid wall may be unsafe when used on a lightweight partition.
The installer should identify the wall construction, stud positions and any hidden services before drilling. Where necessary, additional reinforcement may need to be installed behind the finished wall surface.
Bracket weight capacity must exceed the weight of the equipment, and the display’s VESA mounting pattern must match the bracket. The intended movement also matters: a fixed mount creates different forces from a full-motion arm that extends away from the wall.

3) Infrastructure Planning - Confirm power and network provision at the installation position
Power and connectivity should be designed around the final equipment position, not improvised after the display has been mounted.
Power sockets
Confirm that sufficient sockets are available for displays, media players, cameras, speakers, controllers and any local computing equipment. Extension leads should not become the permanent infrastructure for a commercial installation.
Wired network access
Meeting-room systems, digital signage players and centrally managed devices often perform more reliably over a wired network than Wi-Fi. Confirm network points, VLAN requirements and security credentials before commissioning.
Signal distance
Long HDMI, USB or control runs may require active cables, extenders or structured cabling. A passive cable that works over a short test distance may fail when routed across a full room or between floors.
Do not assume every cable works at every distance
Confirm the required resolution, refresh rate, USB function and control signal before selecting the cabling method. The cable route and transmission distance are part of the system design.

4) Cable Management - Plan cable routing and containment before mounting begins
Cables should have a defined route from the source equipment to the display, speakers, cameras, controllers and network points. Planning the route after the screen has been mounted often leads to exposed cabling, sharp bends or inaccessible connections.
Concealed routes may pass through walls, ceilings, floor boxes or containment systems. Surface-mounted routes may use trunking or conduit where concealed installation is not possible.
Service access should remain available. A perfectly hidden cable is not helpful if the display must be removed from the wall every time a connection needs replacing.
Cable bend radius, ventilation and strain relief should also be considered, particularly behind slim displays where space is limited. Power and signal cables may need separation depending on the environment and applicable installation practices.
Labelling both ends of each cable makes future fault-finding significantly easier, especially in meeting rooms and multi-display systems with several similar connections.
5) Risk assessment and method statement - Prepare RAMS before the installation team arrives
RAMS stands for risk assessment and method statement. The risk assessment identifies hazards associated with the work, while the method statement explains how the installation will be completed safely.
Commercial sites may require RAMS before engineers are permitted to begin work. This is particularly common where the project involves large displays, working at height, lifting equipment, public areas, occupied offices or construction-controlled environments.
The documentation may cover manual handling, electrical safety, drilling, dust control, access equipment, exclusion zones and the process for moving heavy equipment through the building.
RAMS should reflect the actual project rather than being treated as generic paperwork. A single wall-mounted screen in an empty room presents different risks from a large-format display installed above a public reception desk.
Skipping this stage can delay site access, create liability concerns and expose installers, employees and visitors to avoidable risks.

6) Hardware Planning - Check compatibility before equipment reaches site
Every component in the system should be checked against the others before delivery. This includes screen size, weight, VESA pattern, bracket capacity, input connections, output resolution, control interfaces and any platform certification requirements.
A display may include HDMI inputs but still require a separate adapter for a specific laptop connection. A video conferencing bar may support USB-C, but only with certain cable lengths or power-delivery requirements.
Mounting equipment should also be matched to the intended orientation and movement. A portrait signage display, a ceiling-mounted screen and a pull-out service mount all require different hardware.

7) Software and system setup - Configure content, accounts and software before go-live
Physical installation is only one part of the project. The system must also be configured so the client can use it immediately after handover.
Digital signage content
Configure the content management system, media player, screen orientation, playlists, scheduling and remote-management access before the display is expected to go live.
Meeting-room platforms

Network credentials

8) End-to-end testing - Commission and test the complete system before sign-off
Commissioning means testing the complete signal and control path, rather than simply checking that the screen switches on.
Display testing should include every intended source, resolution and orientation. Audio systems should be checked for volume, clarity and coverage throughout the room.
Touchscreens should be tested for touch accuracy and connection stability. Digital signage systems should be checked for content playback, scheduling, network access and remote updates.

For a meeting room, schedule a meeting, join from the room controller, share content, confirm audio and video, then end the call. This catches issues that a basic power-on test will miss.


9) Training and documentation - Give users the training and information needed to operate the system
A technically complete installation can still fail if employees do not understand how to use it. The handover should include a practical walkthrough based on the tasks users will perform every day.
For meeting rooms, this may include starting a scheduled call, sharing a laptop, adjusting volume, selecting the correct camera and using a BYOD connection.
For digital signage, users may need to understand how to upload content, create playlists, schedule campaigns and check whether a screen is online.
Documentation should include equipment models, serial numbers, installation photographs, cable details, account information, warranty records and support contacts.
Clear documentation makes future maintenance easier. Without it, a simple support issue can take much longer because nobody knows which cable route, device account or equipment model was used.

10) Ongoing Support - Agree aftercare, warranty and support before the project closes
The installation should not become unsupported as soon as the engineers leave. The client needs to know who to contact if a device fails, a room needs adjusting or a software update causes an issue.
Confirm whether product warranties require registration and record the dates, serial numbers and proof of purchase. For larger estates, maintain an asset list so individual devices can be identified quickly.
Support arrangements should explain what is covered, how faults are reported and whether remote diagnosis, return visits or replacement equipment are available.
