Room size affects far more than the size of the display. As a meeting space grows, camera framing, microphone coverage, speaker distribution, room control and cabling all need to scale with it.

A larger meeting room needs more than a larger screen
It is common to begin meeting room planning by asking what size display should go on the wall. That is important, but display size is only one part of the AV design.
A small huddle room may work extremely well with a single all-in-one video bar, built-in microphones and speakers, and one touch controller. Put the same equipment at the end of a long boardroom table and the experience can deteriorate quickly.
People at the far end may become difficult to hear. The camera may struggle to frame everyone properly. Audio may be too loud near the display and too quiet at the back of the room. Cable routes become longer, additional inputs may be required and users may need more control over the environment.
The correct meeting room AV solution should therefore be based on how the entire room behaves, not simply the number of people written on the door.

Camera Change
Camera needs change from fixed-lens to PTZ and multi-camera setups
Camera choice is one of the clearest examples of why room size matters.
In a small room, people sit close to the display and within a relatively narrow depth. A wide-angle fixed camera or integrated video bar can often capture everyone without needing any movement.
As the room becomes longer and seating extends further from the camera, framing becomes more difficult.
Small huddle rooms
A fixed-lens wide-angle camera built into a video bar can provide a simple, low-maintenance solution for a small group sitting relatively close together.
Standard meeting rooms
A wider field of view may still work, but camera quality, digital framing and positioning become more important as participants sit further away.
Large boardrooms
Pan-tilt-zoom cameras can provide tighter framing across a long table and support different seating positions or presentation areas.
Multi-camera rooms
Large or specialist rooms may use more than one camera so the system can switch between participants, presenters and different parts of the space.
Speaker tracking
Automatic speaker tracking can improve the remote experience in larger rooms where a single wide shot would make participants appear very small.
Wide angle is not the same as good framing
A camera may technically fit everyone into the image while making participants at the far end too small to see clearly. Camera selection should consider distance and framing quality, not only whether every seat appears somewhere in the shot.
Audio pickup
Microphone coverage becomes more important as the table gets longer
A meeting can continue with an imperfect camera angle. Poor microphone coverage is much harder to tolerate.
Remote participants need to hear everyone in the room clearly and at a reasonably consistent level. In a small huddle room, built-in microphones may provide enough coverage because nobody is very far from the device.
As distance increases, relying on one microphone at the front of the room becomes less effective.
Built-in video bar microphones
These can work well in small rooms where users sit within the intended pickup range of the conferencing bar.
Table microphones
Medium rooms may add one or more table microphones to bring audio pickup closer to participants sitting further from the display.
Ceiling microphone arrays
Larger meeting rooms can use ceiling arrays to create more even coverage across a long table without placing additional hardware on the furniture.
Multiple pickup zones
A boardroom may require several microphone zones so people at the front, middle and far end of the room can be heard consistently.
Acoustic conditions
Hard walls, glass partitions, high ceilings and reflective surfaces can affect intelligibility regardless of the microphone specification.
Microphone design should therefore consider the actual room dimensions, seating layout, ceiling conditions and acoustic environment rather than simply choosing a device rated for a certain number of people.


Audio playback
Larger rooms need more even speaker distribution
Audio output has the same distance problem as microphone pickup.
A small room may sound clear using the speakers built into a video bar or commercial display because every participant sits relatively close to the front wall.
In a long boardroom, turning those front speakers up enough for the back of the room can make the sound uncomfortable for people sitting nearest the display.
Huddle room
Built-in conferencing bar speakers are often sufficient because listening distances are short.
Standard meeting room
A video bar may still provide sufficient coverage, although supplementary speakers can help where room geometry or acoustics make volume uneven.
Large meeting room
Distributed ceiling or wall speakers can provide more consistent volume throughout the seating area.
Boardroom audio processing
Larger systems may include dedicated audio processing so microphones, speakers and conferencing platforms work together without echo or feedback.
Presentation content
Rooms used for videos, presentations or events may require more capable reinforcement than a space used primarily for spoken meetings.
The goal is not to make a larger room louder. It is to make speech intelligible and consistent at every seat.
Room control complexity increases with the number of systems
A small room can often hide nearly all of its technology behind one simple meeting controller. Larger rooms may need users to control several systems without making the room difficult to operate.

Small room: keep control as simple as possible
A huddle room may only need one touch controller that allows users to join a scheduled meeting, adjust volume, mute the microphone and share content.
Where the room uses an integrated conferencing bar, many functions can be managed by the same interface.
One-touch meeting join
Users should be able to enter the room and start the scheduled meeting without manually configuring the system.
Basic call controls
Mute, volume, camera and meeting controls should remain visible and uncomplicated.
Simple presentation switching
The room may only need to distinguish between the native conferencing system and a connected laptop.
Boardroom: control several systems without overwhelming the user
A boardroom can contain multiple displays, several source devices, cameras, microphones, lighting controls, blinds and room-dividing functions.
Users should not need separate remote controls for every component.
Scene control
One button can configure the room for a video call, presentation, executive meeting or another approved use case.
Multiple video sources
Users may need to choose between room computers, wireless presentation systems, guest laptops and other connected sources.
Lighting and blinds
Integrated controls can optimise the room for video conferencing or presentations without users adjusting building systems separately.
Camera presets
Large rooms may provide approved camera positions for the full table, presenter area or specific seating zones.
Dual-display control
The room may need different content on each screen or the ability to change layouts depending on how the space is being used.


Infrastructure
Cabling gets more complex as distances and device counts increase
A small room may only need short cable runs between the display, conferencing bar, touch controller and nearby meeting table.
Large rooms introduce longer distances and more endpoints. Cameras may sit at opposite ends of the room, microphones may be ceiling mounted, speakers may be distributed overhead and source devices may be installed in a cabinet away from the displays.
Short local connections
Huddle rooms can often use relatively straightforward HDMI, USB, network and power connections around one wall and table.
Longer signal routes
Boardrooms may require signal extension or structured AV-over-network approaches rather than relying on long passive cables.
Ceiling infrastructure
Ceiling microphones and speakers require planned cable routes, access and coordination with lighting, HVAC and other building services.
Furniture integration
Large tables can require table boxes, retractable cables, power modules and structured routes through the furniture.
Containment
More complex rooms may need dedicated trunking, floor boxes, ceiling containment or equipment racks to keep the installation safe and serviceable.

Large room design
Dual displays become more useful in larger meeting spaces
Larger rooms often benefit from two displays because users may need to see people and shared content at the same time.
A dual-display setup can dedicate one screen to remote participants while the second shows the presentation, spreadsheet, dashboard or other shared material.
This does not mean every boardroom automatically needs two screens. The decision should reflect the meeting platform, room layout and type of content users regularly present.
People plus content
Keep remote participants visible while a presentation remains readable on a separate screen.
Large tables
Two displays can improve visibility where users are spread across a wide or unusually shaped room.
Different content sources
Specialist rooms may display two separate sources at once, such as conferencing content and operational data.


Divisible rooms need an AV design that understands both configurations
A room that can operate as one large boardroom or split into two smaller spaces creates additional complexity.
The AV system needs to know whether the partition is open or closed and route cameras, microphones, speakers, displays and control functions accordingly.
Combined mode
When the partition is open, both halves may operate as one larger room with shared microphones, cameras and displays.
Split mode
When the wall is closed, each side may need to work independently with its own meeting controls and sources.
Automatic room combining
More advanced systems can detect the partition state and automatically change the AV routing and control interface.
Independent conferencing
Each side should be able to host its own meeting without audio or content bleeding into the neighbouring space.

The difference between small and large room AV is not only the quantity of hardware. More complex rooms also require more planning and testing.

Commissioning proves that coverage works in the real room
Camera specifications and microphone pickup distances can guide a design, but the completed system should still be tested in the actual space.
Camera framing
Confirm that participants remain clearly visible from each intended seating position.
Microphone coverage
Test speech from the front, middle, edges and far end of the table.
Speaker consistency
Check that remote voices remain intelligible without major volume differences across the room.
Echo and feedback
Integrated audio systems should be tuned to prevent echo and maintain clear two-way conversation.
Control workflows
Test the normal meeting, presentation and room-scene workflows exactly as users will experience them.
The larger the system, the more important user training becomes
A small room with one controller may require very little explanation. A boardroom with multiple cameras, content sources, lighting scenes and dual displays needs a clearer handover.
The goal should still be simplicity. Users should not need technical AV knowledge to run an everyday meeting.
Explain the normal meeting workflow
Show users how to join scheduled calls, share content and end the meeting correctly.
Explain room scenes
If the room offers presentation, conferencing or other modes, clarify what each scene changes.
Provide basic troubleshooting
Internal teams should know which simple checks they can perform before escalating a fault.
Document the system

Do not scale a huddle room design by simply adding more hardware
As meeting rooms become larger, the AV system needs to change structurally. Camera strategy, microphone coverage, speaker placement, controls and infrastructure all need to reflect longer distances and more complex user requirements.

Does a bigger room always need more expensive AV equipment?

Can we use the same camera in a huddle room and a boardroom?
